AssistantCoach Privacy Policy

1. In brief
AssistantCoach is designed to work without an account or online database. Information entered in the app is stored locally on the user's device. AssistantCoach does not receive or have access to team, player, training, or match information stored in the app.
The app does not contain advertising or analytics, does not track users, and does not sell personal information.
2. Information stored locally in the app
Users may enter and manage information such as:
- Team and club names;
- Players' names, dates of birth or ages, shirt numbers, and playing positions;
- Attendance, absences, and late arrivals;
- Starting and substitute status, minutes played, goals, assists, cards, injuries, and performance ratings;
- Training and match dates, times, locations, opponents, competitions, results, formations, line-ups, statistics, and match notes.
This information is processed and stored locally on the user's device. It is not transmitted to AssistantCoach or stored on servers operated by AssistantCoach.
AssistantCoach does not require registration and does not provide user accounts, authentication, or cloud synchronisation.
3. Purpose of local processing
The app processes information locally to enable users to manage football teams, players, training sessions, matches, attendance, line-ups, and performance statistics. The user decides what information to enter and is responsible for ensuring that its use is lawful, fair, accurate, and appropriate.
4. Information about players and minors
Users may enter information about other people, including players under the age of 18. The user—or, where applicable, the club or organisation for which the user acts—is responsible for that information and for complying with applicable privacy, safeguarding, employment, and sports-club rules.
Users must:
- Have a valid legal basis and obtain any permission, authorisation, or parental involvement required by applicable law or club policy;
- Tell players and, where appropriate, parents or guardians how their information is being used;
- Enter only information that is necessary for legitimate team-management purposes;
- Keep information accurate and delete it when it is no longer needed;
- Limit access to people who are authorised to see the information;
- Avoid entering detailed medical information or other highly sensitive information. An injury should only be recorded when necessary and legally permitted;
- Never use AssistantCoach to create, retain, export, or share sexual, exploitative, abusive, discriminatory, harassing, or otherwise inappropriate content concerning a child or any other person.
AssistantCoach is intended primarily for adult users managing football teams. It is not designed for children to use independently.
5. Local reminders
With the user's permission, AssistantCoach can schedule local notifications reminding the user to complete match or training statistics. These reminders are scheduled and displayed by the device itself. AssistantCoach does not use a remote push-notification server and does not receive a device token or notification history.
Notification permission can be changed at any time in the device settings.
6. Exports, backups, and sharing
Users can export the local database as a .sqlite3 backup file and can import such a file on a device. Users may also create and share images of line-ups. Line-up images use jersey designs rather than player photographs, but they may include player names or other identifying information.
AssistantCoach does not receive exported files or shared images. Once a user exports or shares information, the user controls where it is sent and is responsible for:
- Sharing it only with authorised recipients;
- Using a secure transfer and storage method;
- Protecting backup files against unauthorised access;
- Obtaining any permission required before publishing player information, particularly information about minors;
- Deleting copies when they are no longer needed.
The device's operating system may include AssistantCoach data in a device or cloud backup, depending on the user's iOS, Android, iCloud, Google, or device-backup settings. These backups are controlled by the user and the relevant platform provider, not by AssistantCoach. Users can review or change backup settings through their device or platform account.
7. Deletion and retention on the device
Player, team, training, and match information remains on the device until the user deletes it, removes the relevant data, clears the app's storage, or uninstalls the app. When information is deleted within the app, AssistantCoach does not retain a server-side copy.
Copies may remain in backups or previously exported or shared files until the user deletes those copies through the relevant device, storage service, or recipient.
Because AssistantCoach does not possess the locally stored database, the operator cannot remotely access, correct, export, or delete it. A player, parent, or guardian wishing to exercise rights concerning information entered by a coach or club should contact that coach or club directly.
8. Support communications
If a person contacts AssistantCoach by email, the operator receives the information included in that message, such as the sender's email address, message content, and any voluntarily provided screenshots or attachments.
Support information is used only to respond to the request, troubleshoot the reported issue, protect the app where necessary, and keep a limited record of the correspondence. The legal basis is the operator's legitimate interest in providing support and maintaining the app, or taking steps requested by the sender.
Support emails are normally deleted within three months after the matter has been resolved, unless longer retention is reasonably necessary to handle an ongoing dispute, security issue, or legal obligation. Support information is not used for advertising and no promotional mailing list is maintained.
Support email is hosted by Gmail/Google. Google may process relevant account and technical information under its own terms and privacy documentation.
9. Website and app-store providers
The AssistantCoach information website is hosted through GitHub Pages. When someone visits the website, GitHub may process technical information such as an IP address, browser information, security logs, and cookies in accordance with GitHub's own privacy statement. AssistantCoach does not add its own analytics or advertising cookies to the website.
Apple and Google may independently process information when a person downloads, installs, updates, backs up, or reports a problem with the app. This may include store statistics, crash or diagnostic information, device information, and account or transaction records controlled by those providers. AssistantCoach does not receive player or team databases through the app stores. Apple and Google are responsible for their own processing under their respective privacy policies.
10. Security
Local app data is protected by the security features and application sandbox provided by the device and operating system. Users are responsible for securing their device with appropriate measures such as a passcode, biometric lock, current software updates, and secure backups.
No method of storage or sharing is completely secure. Exported .sqlite3 files may contain identifiable player information and should be treated as confidential. Users should not export or share them through an insecure channel.
11. International availability
AssistantCoach may be made available in the European Union, European Economic Area, United Kingdom, and potentially other countries. The core app data remains on the user's device unless the user chooses to export or share it or enables an operating-system backup.
Users who manage player information remain responsible for any international transfer they initiate through exports, sharing, or third-party storage services.
12. Privacy rights and complaints
For locally stored player and team information, the relevant user, coach, or club controls the data. Requests to access, correct, or delete that information must therefore be directed to that person or organisation.
For personal information contained in a support email, the sender may contact AssistantCoach to request access, correction, or deletion, or to object to or restrict its use where applicable. The sender may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or, where applicable, another competent supervisory authority such as the UK Information Commissioner's Office.
13. Changes to this policy
This policy may be updated if the app's functionality, data practices, or legal requirements change. The updated version will be published on the AssistantCoach website with a new effective date. Material changes will be communicated in the app or through another appropriate channel where reasonably possible.
14. Contact and controller
AssistantCoach is operated personally in the Netherlands by Joeri van Megen, who is responsible for personal information received directly through AssistantCoach support communications.
